Terms of use
These terms explain the operating boundary of Service Sheet, the responsibilities that remain with each customer, and the rules that apply when using the service.

What Service Sheet provides
Service Sheet is a maintenance tracking, record-keeping and reminder platform. It organises customer-defined schedules, readings, service history and factual issue reports so an organisation can monitor its own assets.
A maintenance status means only that an item is due based on the interval configured by your organisation. Service Sheet does not inspect assets; determine the correct maintenance interval; diagnose faults; provide mechanical, engineering or safety advice; certify roadworthiness, fitness for service or regulatory compliance; or decide whether an asset can continue operating. It does not replace manufacturer instructions, workshop or mechanic advice, statutory inspections, or servicing requirements.
Customer responsibilities
Your organisation remains responsible for:
- selecting appropriate kilometre and engine-hour maintenance intervals using manufacturer guidance, maintenance-provider advice, operating conditions and internal requirements;
- monitoring assets and checking that asset details, readings, schedules and contact information are accurate and current;
- deciding when maintenance, inspection, repair or withdrawal from service is required, and arranging and completing that work;
- keeping any additional warranty, insurance, compliance, repair or business records it requires; and
- complying with applicable road, workplace, safety, registration and regulatory requirements.
Operators and submitted information
Operators and drivers use Service Sheet to submit factual information such as kilometres, engine hours, issue descriptions and optional issue photographs. They do not determine maintenance requirements through Service Sheet. Your organisation is responsible for telling operators what to report and for reviewing their submissions.
Service Sheet does not independently verify operator submissions. Missing, inaccurate or late readings, descriptions or photographs may affect the maintenance status and reminders shown to your organisation.
Account access
Your organisation is responsible for granting access only to appropriate people, assigning suitable roles and Location permissions, protecting passwords, email accounts and verification codes, removing access when it is no longer required, and maintaining accurate contact information. Do not share passwords, verification codes or invitation links.
Notifications and availability
Service Sheet is intended to help organisations monitor maintenance, but it should not be the sole control for safety-critical maintenance or compliance. Statuses and notifications may be affected by missing or incorrect readings, late submissions, inaccurate contact details, notification preferences, email-provider delivery, internet or device availability, and service interruptions.
Service Sheet does not promise uninterrupted or error-free availability, or guarantee that an email or reminder will be delivered or prevent missed maintenance. Customers should maintain appropriate independent procedures for critical inspections, servicing and safety decisions.
Acceptable use
You must use Service Sheet lawfully and only for information you are authorised to handle. Do not submit unlawful or harmful content, upload photographs you are not authorised to store, try to access another customer’s information or areas you are not permitted to use, interfere with the service, or use public QR workflows for anything other than their intended factual reporting purpose.
Subscriptions and billing
One permanently designated asset is included at no charge for the lifetime of the organisation. Where a paid subscription applies, the price, GST treatment, billing cycle, renewal information and cancellation effective date are shown before purchase or in the billing area. Paid subscriptions are subject to the pricing, billing and cancellation terms shown to the customer at the time of purchase.
A customer cancellation request is scheduled for the displayed paid-through date. The current paid period is not automatically prorated, refunded or credited, except where required by law or expressly agreed. Paid additional assets remain operational until that entitlement ends, then become read-only while their records remain stored. The permanently free asset continues normally. A scheduled cancellation may be reversed before it takes effect where that option remains available in the billing area.
Deactivation and deletion
Account deactivation is separate from paid-subscription cancellation. It immediately stops operational use for the whole organisation, including the free asset, while preserving operational and billing history. If a paid subscription is active, Service Sheet also records a period-end cancellation request; deactivation does not itself create a refund or credit.
Permanent account deletion is a separate, irreversible process. It requires any active paid subscription to have ended and removes customer operational content through a protected workflow. Some billing, security, audit or deletion evidence may be retained where reasonably required for legal, accounting, fraud-prevention, security or accountability purposes. Content, rights and applicable law
Customers retain their rights in content they submit and give Service Sheet the permission needed to store, process and present that content for the service. Service Sheet software, branding and documentation remain protected by applicable intellectual-property rights.
Nothing in these terms excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified. Service Sheet remains responsible for obligations imposed by applicable law. Product limitations in these terms explain what the service does; they do not remove non-excludable legal rights.
